Wage: $43,794 - $63,502 (Depending on Experience)
Performs a variety of complexadministrativeduties as needed to expedite and coordinate the administrative functions of the City Manager and City Attorneys offices.
Works under the supervision of the City Manager.
Performs administrative duties for the city manager and city attorney departments; serves as the first contact and source of information between the customers of both departments including internal staff and external customers.
Manages information flow in a timely and accurate manner; manages calendars and sets up meetings; makes travel and accommodation arrangements; acts as an office manager by keeping up with office supply inventory; formats information for internal and external communication memos, emails, presentations, reports; screens and directs phone calls and distributes correspondences; organizes and maintains the office filing system; schedules and coordinates meetings and appointments; informs manager and attorney of activities schedule showing events, meetings, public hearings, staff meetings, etc.; follows up on appointment schedules as needed to verify appointment and meeting commitments.
Works on special projects, as requested by manager and attorney; coordinate those projects with other participants and departments
1. Education and Experience:
A. Graduation from college with an Associates degree in business administration, or related field;
B. Three (3) years of responsible experience related to the above duties; one year of which is preferred at the executive assistant level;
C. An equivalent combination of education or experience.
2. Knowledge, Skills, and Abilities:
Considerable knowledge of general office maintenance and practices; proficient computer skills; familiar with office practices and procedures; letter composition, grammar, spelling, and punctuation; operation of standard office equipment; basic mathematics; interpersonal communication skills and telephone etiquette; basic public relations.
Ability tocommunicate effectively, verbally, and in writing; work independently in meeting various time deadlines and work pressures; maintain strict confidentiality related to sensitive administrative information; outstanding organizational and time management skills; operate the personal computer in utilizing various programs to produce or compose formal documents, reports, and records; operate standard office equipment; develop effective working relationships with supervisors, fellow employees, and the public.
3. Work Environment:
Incumbent of the position performs in a typical office setting with appropriate climate controls. Tasks require a variety of physical activities, not generally involving muscular strain, but do require frequent walking, standing, stooping, sitting, reaching, talking, hearing, and seeing. Common eye, hand, finger dexterity required for many tasks. Mental application utilizes memory for details, verbal instructions, emotional stability, and discriminating thinking, and guided problem-solving.
